Free calculator — transparent math

What are missed gigs costing you?

There are two leaks. The visible one: leads that go cold because you couldn't reply in time. The bigger, quieter one: the gigs you never hear about at all. Start with the one you can measure — put in your real numbers and see what slow replies add up to over a year.

Your real numbers

Of 10 inquiries, how many become gigs?

Honestly — including mid-gig and asleep.

Now playing — your yearA few hours later

Estimated cost of slow replies

18,514 / year

10.3 bookings a year going to whoever replied first.

The math, step by step

  1. 1. Your year: 10 inquiries/month × 12 = 120 inquiries. At your 20% booking rate, that's 24.0 bookings.
  2. 2. The speed assumption: couples inquire with several vendors at once and shortlist whoever replies first — about a third of vendors never reply at all. Our model says that replying a few hours later means roughly 70% of your leads are still in play when your reply lands. The rest have already started talking to a faster performer.
  3. 3. Same you, faster reply: your 20% rate is what survives that filter. Reply in under 5 minutes and the same pitch works on the full pool: 20% ÷ 0.70 28.6%, or 34.3 bookings from the same 120 inquiries.
  4. 4. The gap: 34.324.0 = 10.3 bookings/year × 1,800 = 18,514.

This is a planning model, not a promise — your market, lead sources, and pricing all move the number. What isn't in question is the direction: couples book whoever replies first, and every hour of silence shrinks your pool. Change the inputs above and watch the leak move.

Plugging the leak costs $25/month at your volume. The leak costs 18,514/year.

And that's only the leak you can measure. Bright Ears goes out and finds new venues for you and drafts the outreach in your voice — and replies to every inquiry that comes in, then follows up until it's booked or dead. You just approve from your phone. Month-to-month, cancel anytime.

The leak this calculator can't even measure

The number above only counts leads that reached you. But most rooms never post a “performer wanted” ad — the bar that just changed managers, the hotel relaunching its rooftop, the venue whose regular act quit. Those gigs go to whoever happened to be in front of them. You can't put a slow-reply cost on a gig you never knew was open.

Whatever the figure above came out to, the gigs you never heard about are almost certainly the bigger line item. That's the half Bright Ears was built to fix first: it goes out and finds the rooms, so you stop losing the gigs you never even got to bid on.

Why the first reply wins

3–5

vendors per inquiry

Couples rarely message just you. The same inquiry lands in several performers' inboxes at once — “you don't want to be the 5th DJ that reaches out.”

1 in 3

vendors never reply

Couples report that a third of the vendors they contact simply go silent. Showing up fast puts you ahead before you've said anything clever.

First

reply sets the shortlist

By the time a slow reply arrives, the conversation — and often the date — already belongs to someone who answered while it was top of mind.

Patterns from couples' own accounts on wedding forums and 20 years around venues — they set the direction, not lab-grade numbers. The calculator's math is shown in full below so you can judge it yourself.

Plug both leaks at once.

Bright Ears goes out and finds venues that fit you and drafts the outreach in your voice — and when an inquiry lands, it drafts that reply too. You approve with one tap from your phone; follow-ups run until the gig is booked or dead.
